Privacy Policy
Pencils Down is sold by Transformation Atlas LLC ("we", "us"). This policy explains what we collect when trivia hosts and players use Pencils Down, and what we do with it.
The short version
- Answer-sheet photos are processed and discarded. We never store them.
- Players do not create accounts. We do not ask players for names, emails or phone numbers.
- We do not use analytics, advertising trackers, or third-party scripts.
- We do not sell personal information.
What we collect from hosts
- Email address, to send sign-in links and service messages.
- Trivia content you enter: venues (name and optional logo link), nights, rounds and answer keys.
- Billing status from Stripe (subscription status and dates). Card details go straight to Stripe; we never see or store them.
- Sign-in cookies: a session cookie and a security (CSRF) cookie. They are needed for the service to work and are not used for tracking.
What we collect during a trivia night
- Team names and answer text (read from paper sheets or typed on a phone), the scores computed from them, and a log of every change the host makes.
- Answer-sheet photos. The host's phone shrinks each photo, sends it to our server, and our server sends it to Anthropic to read the handwriting. We then drop it. Photos are not saved to any database, file store or log.
- Player phones keep a random token in the browser so a team can reconnect to the same night. It is tied to that night only and contains no personal information.
Hosts should ask teams not to write personal information on answer sheets or in team names.
Pilot signups
If you join the pilot from our homepage, we keep the email, venue, city and note you send so we can contact you about the pilot.
Service providers (processors)
- Anthropic: reads handwriting on answer-sheet photos and compares short answer texts. It does not decide scores; points come only from the host's answer key.
- Stripe: subscription payments and billing.
- Cloudflare: hosting, database and network delivery.
- Resend: sends sign-in links.
Each provider handles data under its own terms and privacy policy. Anthropic does not use data sent through its commercial API to train its models.
Children
Pencils Down is a tool for hosts of trivia nights at bars and similar venues. It is not directed to children under 13, and we do not knowingly collect personal information from them.
How long we keep data
Host accounts and trivia-night records are kept while the account is open. After an account is closed, we delete it and its night records within 30 days of a request to thomas@transformationatlas.org. Sign-in links expire after a short time and can be used once.
Your choices
Hosts can ask us to delete their account and data by emailing thomas@transformationatlas.org. Depending on where you live, you may have other rights to access, correct or delete your information. We will respond to verified requests.
Changes
We will post any changes to this policy on this page and update the effective date.
